LGM Funeral Policy Administrators is committed to protecting your personal information in accordance with the
Protection of Personal Information Act 4 of 2013 (POPIA) and all applicable South African
data protection legislation. This notice explains how we collect, use, store, and protect your personal information.

2 Personal Information We Collect
We collect the following categories of personal information when you request a quote, apply for a policy, or contact us:

- South African ID number
- Date of birth and age

Policy & Family Information
- Beneficiary details
- Spouse and dependent information
- Ages and dates of birth of dependants
- Policy preferences and cover amounts

- Bank account details (for premium debit orders)

- Claims payment details
Special personal information (such as health information relevant to claims) is only collected when
strictly necessary for claims assessment and with your explicit consent, as required by POPIA Section 26.
3 Why We Collect Your Information (Purpose)
LGM collects and processes your personal information only for the following lawful purposes:
Generating funeral policy quotations and processing policy applications
Verifying your identity as required by FICA (Financial Intelligence Centre Act)
Administering your funeral policy, including issuing policy documents and member cards
Collecting premiums via debit order, EFT, or retail payment systems
Processing, assessing and paying funeral insurance claims
Providing customer service, responding to enquiries and resolving complaints
Complying with legal and regulatory obligations (FSCA, POPIA, Insurance Act, FICA)
Sending you policy-related communications including renewal notices and important updates
Fraud prevention, risk management and security monitoring
We will not process your personal information for any purpose other than those listed above without your
prior consent, unless required by law.
4 Legal Basis for Processing
We process your personal information on one or more of the following lawful grounds under POPIA:
Consent
You have given us your express consent to process your information for a specific purpose.
Contractual Necessity
Processing is necessary to fulfil our contract with you (your funeral policy).
Legal Obligation
Processing is required to comply with South African law (FSCA regulations, FICA, Insurance Act).
Legitimate Interest
Processing is necessary for our legitimate business interests, such as fraud prevention and security.

LGM does not sell your personal information. We share it only with the following categories of parties,

6 How Long We Keep Your Information
We retain your personal information only for as long as is necessary for the purpose for which it was collected, or as required by law:
Policy records: 5 years after policy termination or expiry (Insurance Act requirement)
Claims records: 5 years after claim settlement or rejection
Quote requests: 2 years from the date the quote was generated
General correspondence: 3 years from the date of last contact
FICA / identity records: Minimum 5 years as required by FICA
After the applicable retention period, your personal information is securely destroyed or anonymised.
7 How We Protect Your Information
LGM takes the security of your personal information seriously and implements reasonable technical and organisational measures, including:
Encrypted data transmission (SSL/TLS)
Secure, access-controlled databases
Role-based staff access controls
Regular security monitoring and audits
Anonymisation of data where possible
Staff confidentiality and data handling training
In the event of a data breach that is likely to harm you, LGM will notify the Information Regulator and
affected data subjects as required by POPIA Section 22 within the prescribed timeframes.
8 Your Rights Under POPIA
As a data subject, you have the following rights under the Protection of Personal Information Act:
Right of Access
You may request access to the personal information LGM holds about you at any time.
Right to Correction
You may request that inaccurate, incomplete or outdated personal information be corrected.
Right to Deletion
You may request deletion of your personal information, subject to our legal retention obligations.
Right to Object
You may object to processing of your personal information where it is based on our legitimate interests.
Right to Withdraw Consent
Where processing is based on consent, you may withdraw your consent at any time without affecting prior processing.
Right to Complain
You have the right to lodge a complaint with the Information Regulator of South Africa.

9 Direct Marketing
With your consent, LGM may send you information about our products, promotions and policy updates via
SMS, email, or WhatsApp. You may opt out of marketing communications at any time by:
- Clicking the unsubscribe link in any marketing email
- Replying "STOP" to any SMS
- Contacting us directly at info@lgmpolicies.co.za or 063 551 2247
Opting out of marketing will not affect the delivery of important policy-related communications,
which we are required to send you as your policy administrator.
10 Cookies & Website Usage
Our website uses session cookies strictly necessary for its operation (e.g. maintaining your quote session).
We do not use third-party advertising or tracking cookies. By using our website, you consent to
essential session cookies only. No personal information is collected through cookies beyond what
you voluntarily provide via our forms.
